Offline, devices and printing

No signal is a normal day, not an outage.

The field app is built to sell, invoice, print, take returns and collect for a whole sales day with no network, then sync without losing or doubling a single document. It runs on ordinary Android phones with a Bluetooth printer, or on a rugged handheld with both built in.

Offline by design

Everything the route needs is already on the phone.

After the morning sync the phone holds the day's data set in an encrypted local database. From then on, nothing a salesman does at a shop waits for the server.

The route's customers

Each with its balance, credit limit, price list and last three invoices, plus open invoices to collect against.

Products and prices

The full catalogue with units and barcodes, every price list, and the active promotions for the day.

The van's stock

Live stock on the van by product and batch. The phone owns the van's stock while the day is open; the server never changes it underneath.

Its own numbers

A reserved block of document numbers per type, so the handset can issue invoices, credit notes and receipts with no one to ask.

The outbox

Saved before it prints. Sent exactly once.

Every confirmed document is written to the local database, with its own unique id, before the printer starts. Documents wait in an outbox and are pushed in the order they were made. If the same batch is sent twice, the server recognises every document and records the repeat as a duplicate; nothing is created twice.

  • Sync starts by itself when a signal returns, every few minutes while online, after each document, or with Sync now
  • The sync screen shows what is waiting, the oldest item and the last good sync
  • A rejected document is never deleted from the phone; support resolves it
  • Photos and signatures upload after their document, and resume if the signal drops

A full day offlineDesign target: at least 16 hours of selling, returns, collections, approvals and printing with no network.
A week of backlogDesign target: seven days or 1,500 unsynced documents held safely without slowing the app.
Unbroken number seriesEach handset numbers from its own block, for example V07-INV-000123. Numbers are never reused; a revoked phone's unused numbers are voided, and gaps are reported.
Trusted timeThe phone's clock is compared with the server at every sync. A document more than 10 minutes out, or a clock moved backwards, is flagged.
End-of-day sync gateA sales day cannot close until every document has reached the server, so the cashier settles against complete data.
Tax deadline guardWhere a country sets a reporting window, the app warns at 12 hours unsynced and stops new tax invoices at 20 hours, while collections and the end-of-day sync still work.

Distributors supply their own phones and printers from the supported list. Exact models are confirmed with each distributor and tested before go-live.

Printing

Arabic on a mobile printer, done properly.

Mobile printers rarely shape Arabic or Urdu correctly from their own fonts. So the app draws right-to-left text as an image and sends it to the printer, the way Ibex POS already prints Arabic receipts. The seller name, document title and labels print in English and the company's second language; in Saudi Arabia, Arabic is always on the tax invoice.

GPS

Proof of the visit, only during the working day.

Check-in compares the phone's position with the shop's pin. Inside the radius (100 metres unless the company sets another) the visit is normal; outside it the visit is saved but flagged. Mock locations are flagged on every reading.

  • Geofenced check-in from the first release
  • From the second release: a route trail sampled every one to two minutes, a live team map and trail replay
  • Locations are recorded only while the user's sales day is open; field users are told at first sign-in and can see their own trail
  • Design target: no more than a quarter of a 4,000 mAh battery over a 12-hour day

A phone that moves

Lost, stolen or tampered with: still under control.

A till stays in the shop; a van phone does not. The device is bound to the company with a one-time setup code, and the company can stop it from the web the moment it goes missing.

  • Personal 4–6 digit PIN; sign-in locks for 15 minutes after five wrong tries
  • Local database encrypted with AES-256, its key held in the Android Keystore
  • Remote lock within a minute of the phone's next contact, and a wipe that first pushes any waiting documents
  • Rooted phones and emulators reported at every sync; the company can refuse sign-in on them
  • Each invoice, credit note and receipt carries a hash chained to the one before, so it cannot be altered after printing

Made for the street

One hand, bright sun, a queue at the counter.

One-handed

Main buttons in the lower part of the screen, touch targets at least 48 dp, keypad keys at least 56 dp. No long-press or swipe-only actions.

Readable outdoors

Light and dark themes, a high-contrast option for direct sunlight, and layouts that hold at large text sizes.

Three languages

English, Arabic and Urdu, switchable without signing out, with full right-to-left layouts. Urdu in the first release is subject to confirmation.

Safe updates

Updates install from inside the app. A forced update waits until no sales day is open on the phone, so it never interrupts a route.
